See if it fits
For home care agencies with 20+ caregivers, tired of chasing expiring certifications

Caregiver credential tracking that gets every renewal back before it expires.

Most caregiver credential tracking stops at an alert. Cora texts each caregiver before their CNA, CPR, license, or Level II expires, collects the renewed document by text, and sends it to your HR team for one-click approval. Nobody in your office chases a single one. Live in under a week.

Right at Home Orlando, by the numbers

Why you are still chasing

The reminder isn't the problem. The chase is.

Nobody saved the number

WellSky and AxisCare reminders come from a number caregivers never saved. On an iPhone they land in Unknown Senders, and many get reported as spam. Once a carrier blocks the number, your reminders stop reaching that caregiver for good.

A notification is not a collection

The reminder says something is expiring. It doesn't ask for the document, doesn't follow up when she forgets, and doesn't get it into the file. Your office does that by hand, every month.

So we built Cora to run the chase, start to finish.
How it works

Set it up once. Cora runs every renewal after that.

Caregivers see a saved contact, not an unknown number, and a person on your team approves every document.

STEP 1

One setup, then nothing

We schedule an automated monthly pull of your WellSky expiring-credentials report. You never export a roster or update a list.

STEP 2

Cora texts before it expires

Over iMessage, with SMS as the fallback. Her first message includes her contact card, so she's saved in the caregiver's phone, and she introduces herself with your HR team's names. One credential at a time, never a list.

STEP 3

The caregiver sends a photo

Cora thanks her and passes it to your HR team. No reply? She follows up, up to seven times over three weeks, only between 8am and 8pm local time. If a caregiver says "Thursday," Cora texts Thursday. STOP is honored immediately.

STEP 4

Your HR approves in one click

Each document arrives as an emailed review link or in a dashboard, whichever you prefer. Approve, or deny with a short note and Cora asks the caregiver for the right one. Nothing enters the file without a human approval.

Every request, reminder, photo, and approval is logged with a timestamp. When the surveyor asks how you keep files current, you hand them the trail.

Before you ask

Caregiver credential tracking: what owners ask

Which home care software tracks caregiver certifications?
Most home care agency software does. Scheduling, EVV, and HR systems store each caregiver's expiration dates and send a reminder before a credential lapses. Those reminders are notify-only: they say something is expiring but do not collect the renewed document. Cora adds that step. She texts the caregiver, collects the renewal by text, and puts it in front of your office for review.
How do agencies track caregiver certifications?
Most agencies log expiration dates in their home care software or a spreadsheet, then rely on automated reminders plus an office manager who chases each caregiver by phone and text until the new card arrives. The tracking is easy. The collection is the work. With Cora, the chase runs by text from a saved contact, and your office only reviews what comes back.
What happens if a caregiver does not reply?
Cora follows up, up to seven times over three weeks, only between 8am and 8pm local time. If a caregiver says "Thursday," Cora texts Thursday. STOP is honored immediately. Every request and reply is logged with a timestamp, so you can see where each renewal stands.
Does Cora replace our home care software?
No. Your software stays the system of record for credential dates. Cora reads its expiring-credentials report on a schedule, runs the collection by text, and hands each document to your team. Nothing enters the file without a human approval.
WellSky already texts our caregivers when a credential is expiring.
It does, from a number nobody saved. Caregivers report it as spam, and once a carrier blocks it, only the carrier can unblock it. And WellSky only sends the notification. It does not collect the document, so your office still chases every renewal by hand. Cora texts from a saved contact and runs the collection all the way to an approved document in the file.
Is this AI? Do our caregivers know?
Yes, Cora is an AI assistant. She introduces herself by name and names your HR team so caregivers know who she works with. If asked, she discloses that she is AI with human oversight from your team. Where state law requires it, she discloses that up front.
How do we access the documents Cora collects?
We custom-build to your preferred method. Either an emailed link to access, review, approve, or deny each credential, or a dashboard.
Who verifies the document is real and actually renewed?
Your team does, in one click. Cora collects and passes every photo to HR. She never judges a document. If HR denies one, for example an old card resent instead of the renewal, Cora asks the caregiver for the right one using your note. Nothing enters the file without a human approval.
What do you need from us?
One setup: a scheduled, automated monthly pull of your WellSky expiring-credentials report. After that, nothing. You are live in under a week.
